- Access permissions documented
2. Risk assessment
Which fall under Article 4?
- Each system assigned to an EU AI Act risk category
- High-risk systems identified (Annex III)
- Use case assessed (not just the tool)
- Cross-checked against European Commission guidelines
3. Employees
Who uses what?
- All users of high-risk AI systems recorded
- Current AI skills assessed per employee
- Skill gaps identified
- Prioritization by risk exposure created
4. Training
How do you close the gaps?
- Training format chosen (online course / AI quiz)
- Dates scheduled and participants informed
- Content aligned to high-risk priorities
- Audit-ready certificates planned
5. Documentation
How do you provide evidence?
- Training certificates with content summary stored
- Participant lists archived
- Update plan for future changes
- Documentation accessible to supervisory authorities
6. Continuity
How do you stay compliant?
- Regular review of the AI inventory (at least annually)
- Refresher trainings scheduled
- Process for new AI tools established
- Person responsible for ongoing compliance named
How to use this checklist
- Start with the AI inventory — no sound risk assessment without one.
- Work through the checkpoints category by category and mark completed items.
- Prioritize open items by risk exposure (high risk first).
- Use the result as the basis for your training plan.
- Repeat the checklist at least annually or whenever new AI tools appear.
